Description

The Spence School, founded in 1892, is an independent school for girls and young women, with a current enrollment of 775 students in Grades K-12. The Development Office consists of eight full-time staff members who are responsible for fundraising, alumnae relations, and volunteer management. We are seeking a Development Systems Manager to join our highly collaborative team in a position that offers a variety of responsibilities in a busy and collegial environment.

 

Reporting directly to the Director of the Annual Fund and Donor Relations, the Development Systems Manager is the School’s chief authority on the Raiser’s Edge database, with responsibility for gift entry, processing, and acknowledgement, and for reporting on capital, annual, and endowment gifts to the School. The individual must have a detailed knowledge of Raiser’s Edge, particularly focused on gift entry, reporting, data analytics, and maintenance of a healthy database geared for use by an active Development staff. The individual will manage all aspects of the database, both long- and short-term, and assure its quality, consistency and accuracy. The position is responsible for creating and maintaining all systems and processes around Raiser’s Edge, and in consultation with the Director of the Annual Fund and Donor Relations and the IT Director takes the lead in determining its integration with other databases utilized on campus. 

 

He/she will create, evolve, or revise the processes around the use of the system in consultation with the Director of the Annual Fund and Donor Relations, and supply the necessary training for all members of the Spence community who utilize Raiser’s Edge. The Manager coordinates between Development and the Business Office to ensure the accurate and timely reporting and reconciliation of contributions and event payments. He/she assists the Director of the Annual Fund and Donor Relations in all Annual Fund and donor communications, tasks, and activities, as well as the entire Development Office from time to time.



Requirements

  • Bachelor’s degree (or equivalent education and experience) with minimum 3 years Raiser’s Edge experience, including knowledge of and experience with Crystal and other reports and database management in general

  • Advanced skills in Microsoft Office programs (Word, Excel, Outlook, PowerPoint)

  • Articulate, highly organized, strong attention to detail, someone who takes pride in managing a well-ordered and effective database

  • Ability to handle multiple projects and meet deadlines with grace and good humor

  • Excellent organizational and communication skills (both written and verbal), interpersonal skills (with all constituents and colleagues), critical thinking and problem-solving skills, and mathematical skills, as well as complete discretion with confidential information

  • Willingness to work occasional evenings and weekends as needed in support of fundraising, stewardship, alumnae, and other events

Responsibilities Include (but are not limited to)

  • Raiser’s Edge management and maintenance

    • Oversee operations of entire database including biographical, financial, prospect, event, and other modules

    • Develop/revise and maintain standards and procedures for data and gift entry

    • Create policies and procedures around RE use, and record them in the RE manual for the office

  • Decision-making

    • Participate in and provide recommendations for integration of RE with other Spence data systems

    • Utilize data management experience and understanding of the Department’s and the School’s needs to make informed decisions about the database

  • Financial Liaison:

    • Ensure data accuracy and appropriate integration of financial records between RE and Financial Edge

    • Prepare monthly, quarterly and annual reconciliations and reports for presentation to the administration and board of trustees

    • Create and implement mechanisms to ensure effective interaction between data bases and team members

  • Reporting

    • Create new queries, exports, and reports or revise existing ones based on the needs of the Development team

    • Extract accurate data and create reports for Spence’s memberships in organizations

    • Create reports for the Director of the Annual Fund and Donor Relations around giving and volunteerism

  • Other

    • Update and input all constituent data 

    • Enter gifts and pledges

    • Monitor prospect tracking and activity

    • Assist in the operations of the Annual Fund, in particular stewardship events and phonathons

    • Assist with Development tasks and events as needed

    • Other duties as assigned
